Folders and Smart Folders
The folder list on the left side of the Notebook lets you organize your notes, images, and shortcuts into folders within folders (much like folders on your computer). The top level is called the Binder (the top-level folder, labeled "Binder" in the app, that holds everything).
Creating Folders
To create a folder, click the Folder button in the toolbar at the top of the Notebook and choose New Folder, or right-click (or Ctrl+click on Mac) any empty space in the folder list and choose New Folder. Type a name (up to 100 characters) and press Enter.
You can nest folders up to 5 levels deep. To create a subfolder, right-click an existing folder and choose New Folder.
Managing Folders
Right-click any folder to see its options:
- Rename: Edit the folder name right where it appears (also triggered by pressing F2; you may need to hold Fn on some Mac keyboards)
- Change Color: Pick a color for visual organization; a color picker will appear with the available options
- Move to Folder...: Move the folder to a different location in the folder list
- Delete Folder: Permanently remove the folder and everything inside it. You'll be asked to confirm before anything is deleted, and there is no undo. If the folder contains notes you want to keep, move them to another folder first
You can also drag folders in the folder list to rearrange them.
Tip: Click the arrow next to a folder to expand or collapse it. Your expand/collapse preferences are remembered between sessions.
Moving Items Between Folders
There are two ways to move items, including notes, images, and shortcuts (quick links to characters, locations, and other items in your book), between folders:
- Drag and drop: Drag an item onto a folder in the folder list or in the content area on the right
- Move to Folder...: Right-click an item and choose "Move to Folder..." to pick the destination from a dialog
You can move multiple items at once. Select several items by holding Ctrl (or Cmd on Mac) and clicking each one, or hold Shift and click to select a range. Then right-click and choose Move to Folder....
Folder Path
When you go into a nested folder, a breadcrumb trail (a row of folder names at the top showing where you are) appears above the content area. You can click any folder name in that path to jump back to it, or press Alt+Up Arrow to go to the folder that contains this one.
Smart Folders
A Smart Folder is a regular folder that's linked to one of your tags (labels you create to categorize items across your book). It automatically creates shortcuts (links to the original items, not copies) to every item with that tag, keeping related content gathered in one place. Deleting a shortcut from a Smart Folder does not delete the original item — it just removes the link.
Creating a Smart Folder
Right-click in the folder list and choose New Smart Folder. You'll be prompted to pick a tag. The folder is created and named after the tag, and it fills with shortcuts to all items that have that tag.
You can also convert an existing folder into a Smart Folder: right-click it and choose Link to Tag (Smart Folder)..., then select a tag. Notes, images, and subfolders already in the folder stay where they are; the tag shortcuts are added alongside them.
Unlinking a Smart Folder
To turn a Smart Folder back into a regular folder, right-click it and choose Unlink Smart Folder. The shortcuts that were automatically created will remain and still work; they continue to point to the original items. Any items you added manually also stay in the folder. However, new tagged items won't be added automatically.
Note: You can also add tagged items to a regular folder without linking it. Right-click a folder and choose Add Shortcuts from Tag.... This adds them once; it won't automatically update if you tag more items later.
Tip: A folder can also appear outside the Notebook. Point a Notebook Block on a character sheet or scene at a folder, and every note inside it shows up there as a live list, updating as you add notes. Handy for a per-character "Character Work" folder.
